How to set up the Artist Station for your event?

Are you planning a Brand Activation event featuring live art but unsure how to set up the artist station for maximum impact?

After so many Live Engraving and Calligraphy events for brands, I’ve learned one crucial truth: the Artist Station is everything. Its setup can make or break your event.

I’ve seen this overlooked so many times!

There’s no signage, unclear setups, or poor communication with staff and guests end up walking right past without knowing there’s a personalised experience waiting for them.

I’ve even had moments where customers thought I was just a staff member sitting around. At one event, I overheard someone ask, “Why is she sitting there while the store is so busy?” All because there was no signage to explain my role! It was an easy fix, but it’s something that could’ve been avoided with better preparation.

You’ve spent so much time and money on a live activation only to have it go unnoticed because the artist was hidden in a corner or there was no clear explanation of what was happening.

This doesn’t just affect the success of the event - it also means missing out on social media buzz, brand awareness, and sales. A poorly planned setup can undermine the impact of even the best personalisation experience.

In this post, I’ll share five simple strategies to ensure your artist station isn’t just functional but becomes the hit of your activation.

1️⃣  Position Matters:

Place the artist in a high-traffic area. If it’s an in-store event, this might be near the entrance where guests first arrive. For conferences, position the artist where delegates sign in or gather. Visibility is key!

2️⃣  Create Space for Engagement:

Choose a spot where guests can watch the live personalisation process. This not only draws attention but also creates excitement as others see the artistry unfold. Have a clear path for those waiting to place orders while others observe the work being done.

3️⃣  Use Bold Signage:

  • Include clear, professional signs like pull-up banners or table talkers that explain what’s happening: “Live Calligraphy & Engraving—Happening Now!”

  • For in-store events, ensure there’s signage at the entrance, at the checkout counter, and on the artist’s table. Guests need to know why the artist is there and what they’re offering.

4️⃣  Brand It Properly:

I always encourage organizers to create signage that aligns with their brand standards (logos, colors, etc.). This makes the activation feel cohesive and professional. If needed, I can provide neutral signage, but branded materials always resonate better with your audience.

5️⃣  Avoid Common Pitfalls:

Never assume the setup is complete just because the artist is in place. Small touches like signs, proper lighting, and even the layout of the table can make a big difference.

When your station is well-placed and visually appealing, it naturally encourages attendees to snap photos or videos, spreading your activation’s reach organically.
